Overview
When you remove an Audit or Journey, ObservePoint now archives it instead of permanently deleting it. The item moves out of your active Data Sources list and onto a dedicated Archived Items page, where you can restore (unarchive) it at any time.
Archiving replaces the old "Delete" action on Audits and Journeys. Archived items stay recoverable indefinitely, so cleaning up old or duplicate work no longer risks losing it for good.
Who can do what: Anyone who can delete an audit or Journey can archive one; archiving is available to all users. Viewing the Archived Items page and restoring items is limited to Account Admins, who can see every archived audit and Journey across the account. If you're a Standard user, you can archive items yourself; to bring one back, ask an Account Admin to restore it.
How to Access
You can reach Archived Items from several places:
Settings menu: open Settings and select Archived Items (in the same section as Folder and Label management).
Data Sources page: click the Archive button in the page header, alongside the Calendar / List / Card view toggles.
After archiving an item: the confirmation snackbar includes an Archived Items link that takes you straight there.
Viewing the Archived Items page and restoring items are Account Admin–only. If you're a Standard user, you can still reach the page through these entry points, but you'll see a notice asking you to contact an Account Admin to restore items on your behalf.
How to Use
Archive an Audit or Journey
Locate the audit or Journey on your Data Sources page.
Choose Archive (the action that previously read "Delete").
Confirm in the dialog. The item leaves your active list and moves to Archived Items.
A snackbar confirms the archive and links you to the Archived Items page.
Deleting a folder or sub-folder archives all the Audits and Journeys inside it rather than permanently deleting them. Each item shows up individually in Archived Items and can be restored on its own.
Restore a single item
Open Archived Items and select the Audits or Journeys tab.
Find the item using the name search at the top of the table to narrow the list.
Click the Restore button on that item's row.
In the restore window, choose a currently active Folder and then a Sub-folder as the destination. The item's original folder is shown for reference but isn't pre-selected.
Click Restore to confirm. A progress indicator appears, and the item disappears from the list once it's restored.
Restore multiple items at once
On the Audits or Journeys tab, use the checkboxes to select items. Shift-click to select a range.
To select everything on the page, use the header checkbox. A banner then offers to select all matching items across pages (scoped to your current search).
Click the toolbar Restore action.
Review the list of items in the restore window; it's your last chance to catch a selection mistake. All selected items will go to the same destination.
Choose a Folder and Sub-folder, then confirm with Restore [N] items.
Items restore one at a time, with a progress indicator showing live status. When it finishes, you'll see a confirmation.
To send items to different destinations, run separate restore operations.
Best Practices
Review before you restore in bulk. The restore window lists every selected item with its original folder, so scan it to catch an accidental selection before confirming.
Pick the right destination. Restored items don't return to their original folder automatically (it may no longer exist). Confirm the Folder and Sub-folder you choose is where the item belongs.
Use name search to find items fast. On large archives, the search box is quicker than paging through the full list.
Clean up with confidence. Because archiving is reversible, you can safely remove old or duplicate Audits and Journeys to keep your Data Sources list tidy.
Common Questions
Q: What happened to Delete?
A: The Delete action on Audits and Journeys is now Archive. It works the same way: the item leaves your active Data Sources list. But instead of being permanently removed, it moves to Archived Items, where an admin can restore it. Nothing is permanently deleted.
Q: Who can restore archived items?
A: Only Account Admins. Admins see all archived Audits and Journeys across the account. Standard users should contact an Account Admin to restore an item.
Q: Will a restored item be exactly as it was?
A: Yes. Its configuration comes back intact: schedule, labels, alert recipients, webhooks, linked Standards and Rules, and scan locations are all preserved, and the schedule resumes. Run history is retained according to your account's data retention policy; archiving doesn't extend or shorten retention. If something the item referenced was itself deleted while it was archived (for example, a removed user or rule), that reference is dropped. You can re-add it by editing the item.
Q: Where does a restored item go?
A: Wherever you choose. The restore window asks you to pick a currently active Folder and Sub-folder. The original folder is shown for reference only.
Q: What happens when I delete a folder?
A: All Audits and Journeys inside it are archived rather than destroyed, and each appears individually in Archived Items. Restoring the folder itself isn't supported yet, but you can restore the items it contained.
Q: Do archived items ever get deleted automatically?
A: No. Archived items stay restorable indefinitely.
Q: Does archiving change my run history?
A: No. Your run history is governed by data retention exactly as before. Archiving an item has no special effect on its runs.
