Overview

The Usage Report provides valuable information regarding your contractual terms with ObservePoint and presents a comprehensive breakdown of Audits and Journey's usage during specific contract term dates. It allows you to access current and projected usage data and facilitates advanced filtering options for detailed analysis. To access the report, simply navigate to the Usage Dashboard located in the left-hand navigation bar.

Alerts

Establish threshold notifications for pages scanned or Journeys executed in the current term. Additionally, it is possible to configure alerts for the monthly pacing value. Pacing is essentially determined by dividing the contract term by the number of months in the contract. For the majority of customers, this period will span 12 months. Set an alert by hovering over the Audit or Journey term dates and clicking on the alert bell. Note, that alerts support filtered views.

We strongly advise establishing a minimum of two alerts for both Audits and Journeys:

  1. 80% utilization of the contract term.

  2. 100% utilization of monthly pacing.

Clicking the alert bell will automatically configure these recommended alerts for you.

Allow Overages

If you have a predetermined budget for your ObservePoint contract, it is recommended to set the "Allow Overages" option to "No". By doing so, any Audit or Journey will not commence if it would result in exceeding the allocated budget. This applies to both one-time, scheduled, and API-initiated runs. Please be aware that only administrators have the authority to modify this setting. It is important to note that enabling this setting may potentially result in critical Audits and Journeys being skipped.

Exports

Multiple export formats are now available. A straightforward print view that can be easily saved as a PDF by your browser, complete Audit and Journey run data, or filtered run data. The exports will be sent via email to the current user.

Filters

Similarly, like other sections in the ObservePoint application, the Usage Dashboard now includes support for filters. These filters can be utilized in alerts and are taken into consideration when requesting an export.

You can filter the usage based on the following criteria:

  • Data Source Name

  • Folder & Sub-folder

  • Labels

  • Data Source Creator

  • Run Frequency

Users Logged In in the Last Month

View a comprehensive list of individual users who have logged in and easily navigate to the user management section to set limits on the number of pages scanned for each user.

Audit or Journey Usage Data

  • Contact Term Dates: Select current or previous terms

    Charts

    Note: Audits and Journeys have nearly identical charts

    • The total number of pages scanned or Journeys run in the term, displays the following:

      • Total term limit allocation (the green number)

      • Current total pages scanned or Journeys run (the blue bar)

      • Monthly pacing (the purple line)

    • Audit pages scanned or Journeys run per month displays the following:

      • The green line represents the term limit or Audit pages scanned or the Journey run limit

      • The blue area chart illustrates the total actual usage up to the current date

      • Two dotted grey lines represent two types of projected usage.

        • Usage based on historical pages scanned or Journeys run

        • Usage based on scheduled items

      • The solid purple line indicates the monthly pacing. This is the recommended number of pages to scan or journeys to run to fully utilize your allocation by the end of the contract term

    • Completed or Scheduled Audits or Journeys Runs per Day: This section will give insights into Audits or Journeys that have or will run over seven days.

    • Journey Services

      • Monitored Web Journeys: The count of Journeys that are monitored by our Support team.

      • Remaining Web Journey Fixes (resets each month): Our Support team will automatically fix Journeys that break because of changes to your website.

Permissions

Normally, only administrators (Admins) can see the Usage report. However, admins can permit regular users (Standard users) to view it by changing individual user settings. Of note, this will only allow to see usage of the Folders they have access too.

To give a standard user access to the Usage report, follow these steps:

  1. Go to settings.

  2. Find the "users" section.

  3. Click on the specific standard user you want to edit.

  4. Within their user settings, look for a toggle to give access.
